This Booking & Cancellation Policy establishes the general policies that apply to reservations and event bookings at Bluebird Meadows Venue.

When online payments become available, payments may be processed through Wix and/or third-party payment processors.

Customers are responsible for providing accurate payment information and ensuring that payments are made according to the applicable payment schedule.

4. Final Payment

SECURITY DEPOSIT
Refundable (and potentially fully/partially forfeitable) security deposit: $750, due with the half-down balance on

property/material removal; unauthorized overtime; additional rental charges; venue rule violations; unauthorized alcohol-related
costs; missing/damaged equipment; costs caused by vendors or guests; repair/restoration costs; and any other amounts for which the renter is responsible. Any remaining balance will be returned within a reasonable period after the event once Venue Owner determines no additional charges are due.

The Exhibit C amounts are agreed treatment of cancellation-related losses and administrative costs and are not intended as a penalty.

Venue Owner may cancel or postpone an event when circumstances beyond its reasonable control make the event unsafe,
unlawful, impossible, or impractical, including fire, flood, severe weather, natural disaster, government order, utility failure,

Event Venue Rental and Use Agreement emergency, unsafe conditions, terrorism, civil disturbance, significant property damage, or other circumstances beyond
reasonable control. Rights and obligations are governed by applicable law and Exhibit C.

  • How much notice is required for a refund

  • Whether deposits are refundable

  • Whether deposits are transferable

  • Whether cancellation fees apply

  • How refunds are calculated

  • Whether processing fees are refundable

  • What happens if cancellation occurs shortly before the event

6. Rescheduling

Customers may request to reschedule an event by contacting Bluebird Meadows.

Rescheduling is subject to venue availability and the terms of the applicable event agreement.

A rescheduling request does not guarantee that the original deposit or payment will automatically transfer to a new date.

Any applicable rescheduling fee or change in pricing will be disclosed before the rescheduled date is confirmed.

7. Venue Cancellation

In unusual circumstances, Bluebird Meadows may need to cancel or discontinue an event due to circumstances beyond its reasonable control, including severe weather, natural disasters, fire, unsafe conditions, governmental restrictions, emergency situations, or other circumstances that make hosting the event impractical or unsafe.

The rights of the customer and Bluebird Meadows in such circumstances will be determined by the applicable event agreement and applicable law.

8. Weather

Because Bluebird Meadows may offer outdoor event spaces, weather conditions may affect an event.

Customers are encouraged to discuss weather contingencies with Bluebird Meadows before their event.

Unless otherwise stated in the event agreement, ordinary changes in weather do not automatically entitle a customer to a refund.

Specific procedures for severe weather, unsafe conditions, postponement, or cancellation should be stated in the customer's event agreement.

9. Guest Count

Customers are responsible for providing an accurate estimated guest count.

Changes to the guest count may affect pricing, setup, services, capacity, staffing, or other event requirements.

Bluebird Meadows may require final guest counts by a specified deadline stated in the event agreement.

10. Event Hours

Customers must follow the event start and end times stated in their booking or event agreement.

Additional charges may apply for unauthorized early access, extended event time, or other use outside the agreed schedule.

11. Decorations and Property

Decorations and event installations must comply with Bluebird Meadows' venue requirements.

Customers and vendors may be responsible for damage caused by decorations, equipment, installations, or activities that are not permitted by the venue.

Specific decoration restrictions will be communicated as applicable to each event.

12. Vendors

Customers may be required to obtain approval before using certain outside vendors.

Bluebird Meadows may require vendors to comply with venue rules and provide appropriate documentation, insurance, licenses, or permits where applicable.

Customers remain responsible for their vendors and contractors.

13. Cleaning and Damage

Customers are expected to leave the venue in the condition required by their event agreement.

Customers may be responsible for damage, excessive cleaning, lost property, or other costs resulting from their event or the conduct of their guests or vendors, subject to the applicable agreement and applicable law.

14. Alcohol

If alcohol is permitted at an event, the customer must comply with all applicable laws and Bluebird Meadows' alcohol policies.

Additional requirements may apply depending on the type of event and alcohol service.

Bluebird Meadows reserves the right to prohibit alcohol service or require additional conditions when reasonably necessary for safety or legal compliance.

15. Payments and Refund Processing

When online payments are available, refunds approved under the applicable agreement will generally be processed through the original payment method when reasonably possible.

The timing of a refund may depend on the payment processor or financial institution.

Third-party payment processing fees may be treated according to the applicable booking agreement and disclosed payment terms.

16. Booking Changes

Bluebird Meadows reserves the right to update its packages, prices, availability, services, and booking procedures.

Changes generally will not alter the agreed terms of a confirmed event unless the applicable event agreement permits the change or the customer and Bluebird Meadows otherwise agree in writing.
